Administrative Assistant (Full-Time)

This Administrative Assistant role focuses on providing comprehensive operational, administrative, and logistical support for Kehillah, our religious school, throughout the year, along with broader administrative support for the organization. This role works closely with the Director of Education, Executive Director, Finance, Administrative, and Facilities teams to manage student registration, faculty onboarding and payroll, classroom setup, weekly program logistics, and major events such as faculty orientation and Consecration. The ideal candidate is highly organized, detail-oriented, outgoing and comfortable balancing ongoing weekly responsibilities with seasonal planning, ensuring that teachers, students, and families are supported and programs run smoothly.

  • Serve as a welcoming point of contact for temple families, teachers, students, staff, and guests in person, by phone, and via email
  • Provide administrative and correspondence support to rabbis and staff
  • Provide on-site support during Sunday Kehillah, including regular communication with parents via text and email
  • Collaborate with the Director of Education to:
    • Manage Kehillah/Hebrew School registration, enrollment, and class assignments using Salesforce; prepare rosters, attendance sheets, and related materials
    • Coordinate classroom setup, turnover, inventory, and supplies in collaboration with the Director of Education and Facilities Manager
    • Support teaching faculty by preparing contracts, collecting tax forms, running background checks, coordinating substitutes, and processing payroll
    • Support faculty orientation, including preparation of materials, ordering food, and day-of assistance
    • Order, distribute, and maintain classroom, office, and First Aid supplies; prepare weekly materials such as photocopies and equipment
    • Prepare and submit monthly payroll and credit card expense reports in coordination with the Finance Department
    • Maintain databases, generate reports, and prepare documents using tools including Microsoft Suite, Salesforce, PowerPoint, SignUpGenius, Constant Contact, Zoom, and SurveyMonkey
    • Coordinate field trips and special programs, including transportation, waivers, vendors, and rosters
    • Support Consecration logistics, including registration tracking, vendor coordination, materials ordering, service preparation, and family assistance
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and broader digital and office equipment
  • Minimum of two years of administrative experience
  • Ability to maintain confidentiality and exercise sound judgment
  • Highly organized with strong attention to detail and accuracy
  • Ability to manage multiple priorities and remain calm under pressure
  • Self‑directed while also able to collaborate effectively as part of a team
  • Strong interpersonal and communication skills, with compassion and empathy

Librarian

We seek a self‑starter, a student of history, and someone with archives experience to manage and grow the Cohen Library. A central expectation of this role is to use the library as a tool for congregational engagement—a warm, accessible entry point that draws people into learning and synagogue life.

  • Maintain regular library operations: circulation, organization, displays, and reader support.
  • Curate and develop a balanced collection across the broad Judaica subjects represented in the library.
  • Oversee the Teacher Resource Room and ensure materials are accessible and well‑organized.
  • Make the library an active hub of synagogue engagement through displays, holiday booklists, informal learning opportunities, and collaborative programs.
  • Take part in library enrichment for our Sunday religious school program, Kehillah.
  • Highlight the mini‑museum and historic materials to strengthen congregational connection and identity.
  • Care for and organize special materials applying basic archival practices and improving access through inventories or finding aids.
  • Support volunteers, maintain workflows, and track basic usage and budget needs.
  • Coordinate with congregational departments for program integration and collaborate with external partners such as the American Jewish Archives.

Required

  • Demonstrated ability to work independently and take initiative.
  • Experience in library or archives work (collection management, reference, cataloging, or processing).
  • Clear interest in making the library a portal for synagogue engagement.

Preferred

  • MLIS or equivalent relevant experience.
  • Comfort with Judaica materials across all ages.
  • Familiarity with Jewish history, holidays, and basic Hebrew/Yiddish terms.
  • Experience with archival handling.

Membership & Program Coordinator

The Membership & Program Coordinator is a relationship-driven role focused on welcoming new members, fostering meaningful connections, and supporting the growth of the Wise Temple community. This position combines outreach, program development, and informed strategy to engage prospective and current members, with a particular focus on family-centered experiences. Working closely with staff and lay leaders, the Coordinator helps create vibrant entry points into Jewish life while strengthening connection, participation, and belonging across the congregation.

  • Serve as a welcoming ambassador for Wise Temple, building meaningful relationships and helping integrate new members and families into the community
  • Collaborate with colleagues and lay leaders to create programs and foster personal connections that engage prospective and new members
  • Maintain and analyze membership data to help communicate the story and growth of the congregation to leadership and the broader community
  • Actively recruit prospective members through one-on-one outreach and relationship-building
  • Develop and lead engaging family programs centered on key Jewish themes and holidays, with a focus on families with elementary-aged children
  • Develop and manage budgets within assigned areas of responsibility
  • Strong Jewish background with a demonstrated commitment to Jewish life and community engagement
  • Outgoing, relationship-oriented individual who enjoys connecting with people of all ages and backgrounds
  • Proven experience developing and managing creative, engaging programs
  • Excellent communication, interpersonal, and organizational skills
  • Self-starter with the ability to independently manage responsibilities while collaborating effectively with staff and volunteers
  • Strong multitasking skills and the ability to remain composed in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and general office technology; willingness to learn additional tools such as Salesforce and Airtable

Wise Teen Coordinator

The Wise Teens Coordinator works closely with Rabbi Anna Burke and the Teen Advisory Council to design and implement meaningful programs for teens in grades 7–12, supporting their continued connection to Wise Temple, Shelanu, and the broader Jewish teen community after B’nai Mitzvah. This role focuses on building strong relationships with teens as they grow into young Jewish leaders, with the coordinator serving as a teacher, mentor, and guide. It’s a meaningful opportunity for someone who loves working with teens and wants to be part of a warm, supportive community of engaged high school students, parents, and professional staff, while gaining hands on leadership and programming experience with the support of Rabbi Burke and a collaborative Temple team. 

  • Share love for Jewish life while serving as an appropriate role model
  • Chaperone all teen programs and teach in the Kehillah Jr. High program
  • Meet with and mentor the Teen Advisory Council (TAC) help them plan, implement, & promote events & activities
  • Assist Rabbi Burke and the Teen Advisory Council in planning, organizing, publicizing, and executing a diverse range of fun social programs, as well as opportunities for social action and religious & cultural experiences

Candidates must be 21 years of age or older to be considered

Preferred

  • Strong Jewish background with a demonstrated commitment to Jewish life, which may include camping, youth groups, college engagement, synagogue engagement, or educational trips to Israel
  • Experience working with tweens and teens in formal or informal settings
  • Ability to serve as a Jewish role model
  • Excellent communication and organizational skills
  • Ability to work both independently and as part of a team of professionals and volunteer
